Job Description
The Administrative Assistant, Sr. will provide advanced administrative support for the Facilities Management Department. They will provide accounting and finance support, basic report generation, and overall management of the UBSI Facilities annual budget.
RESPONSIBILITIES:
•Sets priorities and organizes the administrative workload for assigned area of responsibility.
•Receives and codes all facility-related invoices. Ensure the invoices are correct and works with internal/external customers and vendors when there is a discrepancy.
•Prepares all invoices for final approval for facilities officers.
•Generates monthly G/L expense reports
•Actively participates with the annual macro and micro expense budget process by presenting historical G/L data which is then incorporated into a Master Spreadsheet provided by the UBSI Finance group.
•Works closely with the Facilities Director and Budget Analyst to ensure presented data is accurate and reasonable.
•Works closely with other departments who may share like G/Ls.
•Participates in merger activities related to vendor accounting and communications.
•Manages and tracks all P.O. Box renewals, Business Reply Accounts, real estate taxes, and records all vendor activity.
Qualifications
•High School Diploma or equivalent is required, Bachelor’s degree preferred.
•Minimum of three (3) years of prior professional working experience in a financial/accounting environment required.
•Banking industry knowledge and experience highly desired
•Excellent interpersonal skills and verbal and written communication skills,
•Proficiency in Microsoft Office Excel and Word required.
•Ability to learn and utilize FIS to include IS View and IBS Insight for reporting, vendor analysis, and customer research.
•Ability to work independently and as part of a team.
•Strong organizational and time management skills with the ability to meet or exceed assigned deadlines.
•Ability to take initiative, work independently, and exercise judgement and discretion.
•Strong customer service skills and ability to represent the bank in a professional and courteous manner
