Job Description

The Operations Associate is responsible for the timely and accurate imaging of documents generated by United Bank and or provided by customers to be ingested into the customers’ appropriate file.  The Operations Associate is also responsible for maintaining additional records generated by the bank, from the time the record is generated until the retention period has ended.  

 

RESPONSIBILITIES:

1.    Document Imaging – Responsible for electronic imaging of loan documents into VisionContent, the Bank’s repository for electronic filing. This would include the preparation of documents for imaging; using scanning machines for ingestion into Vision Content and uploading PDF’s directly to a customer’s file.
2.    Point of Contact for off-site Storage Facilities – responsible for routing all requests from Bank staff for stored files and following through with delivery to the requestor. Responsible for cataloguing all files sent to storage, maintaining the accuracy of the Bank’s storage database.
3.    Records Management – Maintains the integrity, order and appearance of the various records storage facilities at United Bank.  Responsible for keeping detailed records of all inventory while communicating department policies and procedures with various departments throughout the enterprise.
4.    Recurring Audit Support - Assist supervisor with the collection, delivery and re-filing of loan files before, during and after audits and Federal/State exams. (this may require lifting and/or carrying boxes up to 25lbs). 

Qualifications

SKILLS AND QUALIFICATIONS:

•    High School diploma or equivalent required.
•    Some knowledge of commercial lending a plus 
•    Highly organized, diligent and detail oriented
•    Good working knowledge of Windows environment and MS Office applications required
•    Self-motivated, customer service oriented
•    Ability to demonstrate progressive familiarity with basic Records Management principles.
•    Experience working with GroupWise and Outlook email system required
•    FIS IBS Insight, FIS Vision Content and IBML preferred
•    HP multi-functional printer/copier/scanner preferred
•    Fujitsu Image/Scanner – IBML Scanner preferred

Essential Functions:  

•    The ability to lifting and/or carrying boxes up to 25lbs.
•    Sitting for extended periods of time.
•    Sufficient dexterity of hands and fingers to efficiently operate a computer keyboard, mouse, and other computer components.
•    Ability to converse and exchange information with all levels of staff within organization.
•    Ability to comprehend and interpret Bank policies and procedures
