Job Description
JOB SUMMARY:
The Facilities and Real Estate Associate supports the management of the bank’s real estate portfolio, including leased and owned properties. This role includes oversight of real estate, property management, space utilization, vendor management, invoicing, and assisting with real estate transactions and management. The Associate ensures operational efficiency, cost-effectiveness, and compliance with corporate policies while maintaining high-quality service across all bank locations.
RESPONSIBILITIES:
Real Estate Administration:
• Maintain an accurate database of leased and owned properties, including space utilization and occupancy rates.
• Maintain lease agreements, including tracking lease terms, renewal dates, rent escalations, and ensure compliance.
• Assist in reviewing and processing new lease agreements, renewals, amendments, and terminations.
• Support real estate site selection, relocations, and property disposition efforts.
Space Utilization & Portfolio Management:
• Maintain accurate records of bank-owned and leased properties, including square footage, occupancy data, and space allocation.
• Assist in analyzing space utilization to optimize office layouts and branch locations.
• Support office moves, branch consolidations, and renovations by coordinating with internal teams and external vendors.
Vendor & Contract Coordination:
• Manage relationships with landlords, property managers, brokers, and service providers.
• Coordinate property-related maintenance, repairs, and compliance requirements.
• Support vendor selection, contract negotiation, and service agreements for real estate-related services.
Financial & Invoicing Management:
• Assist in preparing and managing real estate budgets, forecasts, and financial reports.
• Review and process invoices for rent, utilities, maintenance, and other real estate and facilities expenses.
• Work with accounting teams to reconcile discrepancies in vendor payments and charges.
Compliance & Reporting:
• Ensure real estate and facilities activities comply with internal policies, regulatory requirements, and lease agreements.
• Maintain an organized database of real estate documents, lease files, and property records.
• Prepare reports on real estate portfolio performance, lease obligations, and cost-saving opportunities.
Technology & Process Improvement:
• Utilize real estate management software, AirTable, or other property tracking tools for lease administration and reporting.
• Identify opportunities to improve real estate processes, reporting accuracy, and operational efficiencies.
• Assist in developing real estate dashboards and data visualization for executive reporting.
Additional Responsibilities: Assist with special projects as assigned.
Qualifications
SKILLS/QUALIFICATIONS:
• Bachelor's degree in Business Administration, Real Estate, Finance, or related field preferred.
• 5+ years of experience in real estate administration, property management, or corporate real estate; An advanced degree may be substituted for experience.
• Strong knowledge of lease agreements, real estate terminology, and financial principles.
• Proficiency in property management software, Microsoft Excel, and database management.
• Excellent organizational, analytical, and communication skills.
• Ability to manage multiple priorities, deadlines, and stakeholder relationships.
